By creating an account or using BillMind ("Service"), you agree to these Terms of Service ("Terms"). If you do not agree, do not use the Service.
BillMind is operated by Vincent Kühnlein, a sole proprietor based in Germany ("we", "us", "our").
BillMind is an AI-powered invoice management platform that helps businesses process, verify, and track invoices. Features include automated invoice extraction, fraud detection, Gmail integration, and reporting dashboards.
We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice.
You must provide accurate and complete information when creating an account. You are responsible for:
You must be at least 18 years old and authorized to act on behalf of any business entity you represent.
BillMind offers a free plan and paid subscription tiers. Paid plans are billed monthly or annually as selected at checkout.
The free plan is subject to usage limits (e.g., number of invoices per month). We may change these limits with reasonable notice. Exceeding the free plan limits requires upgrading to a paid plan.

We reserve the right to suspend or terminate accounts that violate these terms.
You retain ownership of all invoices, documents, and data you upload ("User Content"). By uploading content, you grant us a limited, non-exclusive license to process it solely to provide the Service.
You represent that you have all rights necessary to upload User Content and that it does not violate any third-party rights or applicable law.
We will handle your data in accordance with our Privacy Policy.
If you connect your Gmail account, you authorize BillMind to read emails and attachments solely for the purpose of detecting and processing invoices. We do not read, store, or share email content beyond what is necessary for this function. You may revoke access at any time via your Google account settings.
Use of Gmail data complies with the Google API Services User Data Policy, including the Limited Use requirements.
BillMind uses AI models to extract and analyze invoice data. AI-generated outputs may contain errors. You are solely responsible for verifying the accuracy of extracted data before acting on it. We do not guarantee that fraud detection or risk scoring is error-free.
All software, design, trademarks, and content that form part of the Service are owned by or licensed to us. Nothing in these Terms grants you a right to use our trademarks, logos, or brand features.
Feedback or suggestions you provide may be used by us to improve the Service without obligation to you.
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to merchantability, fitness for a particular purpose, or non-infringement.
We do not warrant that the Service will be uninterrupted, error-free, or free of viruses or other harmful components.
To the maximum extent permitted by applicable law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising from your use of or inability to use the Service.
Our total aggregate liability to you for any claims arising under these Terms shall not exceed the amount you paid us in the 12 months preceding the claim.
You agree to indemnify and hold us harmless from any claims, damages, losses, and expenses (including reasonable legal fees) arising from your use of the Service, your User Content, or your violation of these Terms.
Either party may terminate the agreement at any time. We may suspend or terminate your account immediately if you violate these Terms, without prior notice or refund.
Upon termination, your right to use the Service ceases. We will delete your data in accordance with our Privacy Policy.
These Terms are governed by the laws of the Federal Republic of Germany, excluding its conflict-of-law provisions. If you are a consumer in the EU, you also benefit from mandatory protective provisions of the law of your country of residence.
Disputes shall be subject to the exclusive jurisdiction of the courts in Germany, unless mandatory consumer protection law provides otherwise.
We may update these Terms from time to time. We will notify you of material changes by email or via an in-app notice at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the revised Terms.
